7 ways the right Project Management Information System can deliver a happy client

Delivering a project within scope, and without surprises, is the goal of clients and consultants alike. And while the experience and skill of the project delivery team is paramount, selecting the right Project Management Information System (PMIS), is also crucial to a successful outcome and a happy client.

As a systems implementation manager, I’ve identified seven essential ways the right PMIS helps our teams to consistently optimize our project delivery services across multiple sectors.



1. Enhanced client focus

A robust PMIS allows project delivery teams and support staff to shift time spent creating and maintaining project information capture to focus on more value-added activities.


2. Effective and automated reports and notifications

It allows our teams to provide “one click” reports and dashboards. These reports include real-time data with the latest project information and eliminates time needed to create reports from various information sources. Instead, we can generate an enhanced report, with all the data presented in a clear and easy-to-understand format. With the right PMIS, users can produce automated notifications or reports sent via email based upon customized criteria. As a result, the project team is proactively notified and informed about the project in real-time.


3. Step-by-step business processes 

Our teams can design an automated step-by-step action item inventory, greatly reducing the need for multiple e-mails. In addition, these processes are seamlessly linked with a project’s budget, thus eliminating double entry of financial data.



4. Tailored customization for projects of any shape and size

Whether a project is a small renovation or a large capital program, the right PMIS can be customized in only a few minutes based on configurations that a client requests. In addition, the program team has ability to modify reports relative to different aspects of a project, such as design review or construction administration.


5. Seamless extraction and transferring

Our project teams use a PMIS to extract data and transfer the information to clients. This means that the client can access and save the information within their own records management system, even after a project is completed.


6. Unlimited storage

If using a PMIS with no size restrictions, a client has an unlimited amount of storage and the ability to share files with stakeholders and internal team members. This feature allows the project team to eliminate the practice of creating temporary/permanent FTP sites for file sharing information with bidders, clients, and other project participants. As a result, the effort needed to save the information is reduced and allows the IT personnel to be focused on real-time issues.


7. Program-level database

Essentially, the PMIS serves as a central unit where all project-cost information is recorded. This creates a customized, searchable database where project information can be reported alongside project costs. This provides an organization with benchmarking and project cost information that serves as a valuable and beneficial tool for future projects.
